This brief essay distills Google Scholar’s official guidance and community best practices into a pragmatic checklist for individual authors, university repositories, and journal publishers. It highlights essential PDF and HTML requirements, recommended metadata schemas (e.g., Highwire Press citation_* tags), site-access rules (robots.txt), and ongoing maintenance via author profiles and repository software. Follow these steps, and your work will stand a better chance of being found—so that ideas travel farther, citations accrue more fairly, and the record of scholarship remains open to all.


1) First Principles: What Scholar Needs

  • Reachable full text: Each article should have a public, crawlable URL, with a searchable (not scanned) PDF or HTML full text. Avoid logins and paywalls for the copy you expect Scholar to index.

  • Clear bibliographic signals: Provide machine-readable metadata on the article’s landing page using HTML tags, preferably the Highwire Press (citation_*) family that Google Scholar understands.

  • A discoverable site structure: Ensure crawlers can find all article URLs (via browse-by-date/issue pages and/or sitemaps) and are not blocked by robots.txt.


2) Individual Authors: A Minimal, Reliable Setup

  • Post a proper PDF (filename ending in .pdf). Put the title in large font at the top of page 1, authors directly beneath, and include a References section at the end. Link to the PDF from your publications page.

  • Prefer text-based PDFs (exported from a word processor or LaTeX). If you must use scans, run OCR so text is searchable.

  • Create a simple landing page per paper (an HTML page that links to the PDF) and add Highwire meta tags such as citation_title, citation_author, citation_publication_date, and (for journals) citation_journal_title.

  • Claim and maintain your Google Scholar Profile so new items attach to you and citation data remain tidy.

  • Ensure the primary full-text link is crawlable and avoid long redirect chains or session-bound URLs. Provide stable permalinks/DOIs on both landing pages and PDFs (ideally on page 1).

  • Stable URLs/DOIs; minimal redirects

  • Public, searchable PDFs; references included

  • Issue/year browse pages are interlinked and crawlable


5) Common Pitfalls (and Remedies)

  • Blocked crawling (robots.txt, login walls): Open access to article pages and PDFs intended for indexing; place sensitive content elsewhere.

  • Image-only PDFs: Run OCR or regenerate as text-based PDFs.

  • Missing or malformed meta tags: Validate Highwire tags; confirm author names, dates, and titles are exact; supply citation_pdf_url.

  • Orphaned items: If articles aren’t linked from browse pages or sitemaps, crawlers may never discover them—ensure navigable archives by year/issue.

  • Inconsistent titles between PDF and HTML: Keep titles and author lists identical across landing page and PDF to prevent duplicate or incorrect records.


6) Advanced Enhancements (Nice to Have)

  • Add Schema.org Article structured data for richer understanding in regular Google Search (this does not replace Highwire tags for Scholar).

  • Maintain accurate organization markup and contact info to strengthen your site’s overall knowledge graph presence.

  • For editorial sites, publish issue and archive pages with clear internal linking; this helps both users and crawlers.
